Challenge
YER is a leading staffing and recruitment provider that places attractive positions for professionals, executives, students, graduates, and freelancers across the Tech, Energy, Mobility, Industry, and Public sectors. With over 500 clients ranging from large corporations and mid sized companies to the public sector, and around 240,000 candidates in its talent pool, YER is a reliable recruiting partner for filling demanding positions.
The public sector business, particularly the placement of commercial roles as well as key IT positions, is growing strongly. To enable further growth, YER was looking for a solution to address the following challenges:
Time intensive bid- / no-bid decisions, especially for complex tenders: Decisions require deep analysis and extensive coordination. Screening all tender documents took an average of three days. There was not enough capacity to screen every relevant tender in detail and arrive at a bid decision. The goal: analyze twice as many tenders.
A tool landscape with clear limitations: YER used various portals and tools to process tenders as a team. This involved significant manual effort, downloading attachments, and copy and paste work.
Solution with Forgent
YER uses Forgent as an end to end platform that addresses three core steps in the tender process:
Finding and qualifying tenders faster
Not just "finding more," but improving the pre-selection so teams can spot the right opportunities earlier.
Fast, structured analysis and eligibility review
Every relevant tender is analyzed within minutes against questions tailored to YER. Answers regarding deadlines, award criteria, reference requirements, and more are clearly laid out and linked back to the source in the attachments. Based on this standardized evaluation, YER can now make the bid/no bid decision within a short time, determining whether they can and want to participate.
"Even complex tenders with multiple lots are presented in a perfectly clear way. In no time we can see which lot we want to apply for." Cyril Lührs, Head of Public Sector, YER Germany.
Identifying and formulating bidder questions
At the push of a button, Forgent detects inconsistencies in the documents and suggests both substantive and formal bidder questions.
"Previously, we needed more than three days for a bid decision. With Forgent, we now make this decision in just a few hours. And we can be confident that we have analyzed all requirements and are asking the right bidder questions." Cyril Lührs, Head of Public Sector, YER Germany.
Results with Forgent
A systematic comparison revealed strong results: 87.5% faster bid decisions.
"Forgent is the best tool on the market. I am impressed by the performance and the pace of innovation on the platform, as well as the development of additional features that are extremely useful for professional bid management." Cyril Lührs, Head of Public Sector, YER Germany.
