Randstad finds 150% more relevant tenders with Forgent

The Challenge

Randstad is a leading global talent company, working closely with corporates and public institutions. For its public business, Randstad Germany wanted to make the screening and pre-qualification process for tenders significantly more efficient, without sacrificing completeness. The starting point was a setup in which relevant tenders were spread across many platforms, making review and qualification highly labor-intensive. Two themes stood out in the conversations:

• Fragmented tender landscape & coverage risk: Randstad needed the assurance that no relevant tenders would slip through the cracks, and that coverage would at least match the level of existing solutions. Classic keyword search kept falling short.

• High manual screening effort: The goal was to stop “clicking through” and instead see pre-sorted, relevant tenders first thing in the morning — complete with summaries and prioritization.

For Randstad, different evaluation logics were explored (including no-go/triage and deeper analyses), with the goal of dramatically accelerating pre-qualification. The expectation: a substantial reduction in manual review time per tender, achieved through structured extraction of the relevant criteria from all documents.

Randstad operates across separate legal entities. Forgent’s multi-entity function ensures that information, supporting documents (e.g. self-declarations, proof of insurance), and workflows can be used cleanly and clearly on a per-entity basis.
